Rules & Regulations of 42 Regiment Old Comrades Association (Revised February 2005)

 

 

 

 

 

 

 

 

 

 

 

Name & Object of the Association

  1.  The Association shall be known as 42 Regiment RA Old Comrades  Association (abbreviation OCA).

  2. The object is to provide a focal point to enable all who served with 42 Regiment to make and maintain social contact.

 

Membership

  1. All ex-servicemen/women who served with 42 Regiment shall be FULL Members, including RA & attached.

  2. Family of Full Members shall be Associate Members. They shall be entitled to be invited to Reunions and other Social events, also encouraged to participate in Messageboard discussions and be elected to assist Members of the Committee.

 

Organization & Control

 

  1. A President assisted by a Committee comprising a Chairman, a Secretary, a Treasurer, a Vice Treasurer shall govern the Association and such other Members as may be deemed necessary. Two of the Members shall be appointed as Communications and Contacts Co-ordinators. The nature of the Association is such as to make physical meetings impracticable; so all business will necessarily be conducted by remote communications.

  2. All office bearers shall be elected by a majority vote of all Members, and may remain in office for three years, after which time they may stand for re-election, but must resign if not re-elected. An immediate election shall be called in the event of an office bearer's inability to perform the duties  for any unforeseen reason.

  3. Members may propose names for office to the Secretary, who will invite nominations at the appropriate time. Nominations and votes for candidates should be lodged with the Secretary by the specified date, and detailed results published by the Secretary.

  4. The normal means of communication between the Committee and Members shall be via the Messageboard at www.42oca.com and the monthly " FORTY SECONDER" newsletter. Those who use the Internet are advised to read the Messageboard frequently in order to stay abreast of things.

  5. The " Forty Seconder" newsletter shall be produced monthly. All Members shall be sent a copy, which may be sent online. Hard copies shall be mailed to Members not online.

  6. A copy of these rules shall be available on the OCA website at www.42oca.com .

  7. It shall be the responsibility of all Members to ensure that the Secretary is notified of their current personal details, preferably to include Name, Address, Postcode, Phone, Spouse, Date of Birth, Wedding Anniversary and e-mail address.

 

Duties & Responsibilities

  1. The President shall be responsible for the overall governance of the OCA and shall advise the Chairman and Committee in the execution of their duties. In the event of any matter that cannot be resolved by the Committee, the President shall have the power to decide, such decision being final.

  2. The Chairman shall be responsible for the organization and supervision of the work of the Committee.

  3. The Secretary shall be responsible for all record keeping and shall ensure that records of all significant events are maintained and available at short notice. If records are held online the Secretary should arrange for adequate back-ups. He shall also be responsible for the care of OCA property. "He should administer the Messageboard and monitor its content. Anything considered unduly abusive, insulting, offensive or otherwise inappropriate should be removed without comment"

  4. The Treasurer is responsible for all financial accounting and shall prepare and publish an audited Annual Statement of Accounts each December, two Auditors (not office bearers) being appointed by the Secretary.

  5. The Contacts Co-ordinator shall be responsible for the search of "lost members" of 42 Regt; also for developing regular contact with known Members, particularly those who are ill.

  6. The Communications Co-ordinator shall be responsible for ensuring that relevant information is passed among Committee Members, and between the Committee and OCA Members in a timely manner, the main objective being to ensure that all Members are kept informed and given the chance to participate in the voting process.

  7. "If in any doubt as to their duties, members should consult with other Committee members"

              The Committee shall, after consultation with Members, decide the annual date
